ROLL CALL

Absent from the call were John Patrick and Jane Peterson.

I. Welcome - Approval of Minutes

Sue welcomed everyone to the call and the committee approved the minutes of the previous meeting.


The committee agreed to a process going forward where by the minutes would be approved by email and then disseminated to the entire AVCA Two-Year membership. The minutes would also include the names and contact information for the members of the committee.

II. Membership Drive

Sue reported that we would soon be receiving a complete database from the NJCAA office that will contain information for all schools that currently have volleyball. It was also suggested that the planned letter that the AVCA will send out to the non-members also include the signature of the NJCAA President.


It was noted that the AVCA office can provide printed brochures, electronic brochures, letters, etc., that any member can request to distribute at events. All you need to do is contact Wendy Payne, the AVCA membership director (members@avca.org).

III. Webpage Updates

Sue turned the committee's attention to the new results box on the AVCA homepage. It was noted that since most coaches already report their scores to the NJCAA and/or their own associations web site that they were unlikely to report them to the AVCA as well. The AVCA will look into options where by we can simply link the Two-Year Colleges results on the various association web sites (i.e. NJCAA, COA, NWAACC).

Note: Since the committee meeting, it was determined that some of the problems the poll voters were having was due to the way the system "built" the results page using the results box links that were on the web site. Because of that, the results box has been removed and replaced with a link to the Results section, where readers can go to get the results themselves.

IV. Facts on File

A question arose as to what Facts on File is about and what is required to have information placed in the Facts on File.

Basically, Facts on File is a newsletter put out by the AVCA to let AVCA members know what is going on during the volleyball season. It is division specific: one is done for Division I, Division II, Division III, Two-Year colleges, and the NAIA. It contains basic information each issue, such as the polls, head-to-head top 25 meetings and upsets, and player of the week winners, just to name a few of the regular features.

It should also be noted that Facts o File is distributed to all AVCA distribution lists, which includes, but is not limited to, all coaches in all Divisions (I, II, III, NAIA), all college, university and conference SIDs, media outlets and the AVCA Board.

The key part that coaches and SIDs can help with are getting the AVCA information on major milestones and player achievements during the week. Specifically, coaching milestones (did a coach reach their 100th, 400th, 500th career win), player achievements (30 kills, 30 digs, triple doubles), and 500-plus attendance figures. In addition, if there's something "special" that happened in a match, include it as well. It just might be used.

To ensure the AVCA gets the information, the coach or SID can do one of two things: email us at TYC@avca.org, or when entering your scores into the AVCA system (which we strongly encourage everyone to do), you can enter the information in the text box on the results entry screen.

As we have over 1,600 of these notes to go through each week, the key when sending the information in, or entering this information, is to keep it short and to the point. For example: Whitney Jones of Johnstown State had 35 digs in a 3-2 win over Kutztown University on Sept. 3. Even better would be: 35 digs - Whitney Jones (Johnstown State) vs. Kutztown University, Sept. 3 (5 games). Either way is fine.

The key is to keep it short and give us the key points - Name of player, number of digs/kills or other key point, school they play for, the opponent, the date and the number of games in the match.

V. Communication


It was noted that the minutes would be sent out to the entire two-year coaches membership. Also attached to the minutes would be a copy of the electronic membership brochure and the tie-breaking process sheet.

VI. Miscellaneous


Sue reminded the committee that AVCA Convention registration was now open. Todd mentioned that we have 110 members registered to date as compared to 49 this time last year.

Note: Since the meeting, the AVCA has 236 members registered to date, as compared to 52 this time last year.

It was also noted that the committee appreciated the past use of this category's membership in speaking at the Annual Convention. The committee urged the continued use of two-year coaches where appropriate.

Sue turned the committee's attention to legislation and how best for this committee to utilize that AVCA Legislative Committee. It was noted that the membership seemed to enjoy and appreciate the legislative educational component that was presented at the 2005 Convention and urged a continuation of that practice.


The committee noted the lack of tournament guidelines for some recent tournaments. Sue indicated that we would add that item of discussion to the next meeting agenda.
